How to move off QuickBooks without retyping everything
Switching tools is scary because of the data, not the app. Here's what to export, when to switch and how to avoid double-billing anyone.

Decide what's worth bringing
You don't need ten years of history in your new app. For day-to-day work you need three things:
- Your customer list
- Open invoices (who still owes you)
- Recurring charges (retainers, maintenance plans, subscriptions you bill)
For your records, also save a final profit and loss report and any tax reports from QuickBooks as PDFs or spreadsheets.
Export from QuickBooks Online
- Customers: Sales, then Customers, then the export icon, then Export to Excel.
- Open invoices: Reports, then Standard reports, then Open Invoices (under Who owes you), then Export to Excel.
- Recurring charges: Reports, then Standard reports, then Recurring Template List, then Export to Excel.
Menus change from time to time. If you can't find a button, search QuickBooks help for the report name.
Pick a clean switch date
Switch at the start of a month (or better, a quarter) so each period lives in one system. Let QuickBooks finish any recurring charges for the current period, then turn its recurring templates off before your new app starts billing.
Bring it into Tallibook
- Open Move to Tallibook and pick QuickBooks. It shows the export steps above.
- Drop in the files. Tallibook reads the columns, including the grouped Open Invoices report.
- Check one summary: customers, open balances and recurring charges. Duplicates are merged; nothing overwrites what you already have.
- Bring it in. Recurring charges start from the next period, never back-billing. If anything looks wrong, Undo removes the whole import.
After the move
- Send one invoice from the new app to make sure your details and "How to pay" instructions look right.
- Tell your accountant which date you switched, so they know where each part of the year lives.
- Keep your QuickBooks export files somewhere safe.
Common questions
Will my old invoice numbers carry over?
Yes. Imported open invoices keep their original numbers. If a number is already used, Tallibook adds a suffix.
Does importing count old payments as income again?
No. Payments made before the move are kept as history and don't show up as new income in your reports.
What about QuickBooks Desktop?
Move to Tallibook has export steps for QuickBooks Desktop too. The process is the same: export lists to Excel or CSV and drop them in.
